Privacy Policy
Effective April 29, 2026. How we collect, use, and protect your data.
1. Overview
This Privacy Policy describes how Ultra TMS, Inc. ("Ultra TMS," "we," "us," or "our") collects, uses, shares, and protects personal information in connection with our transportation management platform, websites, and related services (collectively, the "Service").
We are committed to protecting the privacy of our customers, their employees, and visitors to our website. This Policy applies whether you access the Service through our web application, mobile apps, or APIs.
2. Information We Collect
Account information: name, email address, phone number, company name, and role. Service data: loads, shipments, customers, carriers, drivers, invoices, and related operational information you submit. Usage data: device type, browser, IP address, pages viewed, features used, and session timestamps. Payment information: handled by our PCI-compliant payment processor; we do not store full card numbers.
3. How We Use Your Information
We use your information to: (a) provide, operate, and maintain the Service, (b) process transactions and send transactional communications, (c) respond to support requests, (d) improve the Service through analytics and product research, (e) detect, prevent, and respond to fraud or security incidents, and (f) comply with legal obligations.
We do not sell your personal information. We do not use your operational data to train AI models without your explicit, opt-in consent.
5. Data Security
We implement industry-standard administrative, technical, and physical safeguards designed to protect your information, including encryption in transit (TLS 1.2+) and at rest (AES-256), role-based access control, audit logging, and SOC 2 Type II controls. No method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.
6. Data Retention
We retain Customer Data for the duration of your subscription and for a reasonable period after termination to allow you to export it or to comply with legal obligations. Backup data is purged on a rolling schedule. Account-level audit logs are retained for at least seven (7) years to support regulatory requirements.
7. Your Rights (GDPR / CCPA)
Depending on your location, you may have the right to: (a) access your personal information, (b) correct inaccurate information, (c) request deletion (right to be forgotten), (d) restrict or object to processing, (e) data portability, and (f) withdraw consent. To exercise these rights, submit a Data Subject Request at /privacy/request or email privacy@ultratms.com. We respond within thirty (30) days.
9. International Transfers
Ultra TMS is headquartered in the United States. If you access the Service from outside the U.S., your information will be transferred to and processed in the U.S. We rely on Standard Contractual Clauses and other lawful transfer mechanisms for cross-border data flows.
10. Children's Privacy
The Service is intended for business use and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, contact us at privacy@ultratms.com so we can delete it.
11. Changes to This Policy
We may update this Privacy Policy from time to time. The most recent version will always be posted on this page with an updated effective date. Material changes will be communicated by email or in-app notification at least thirty (30) days before they take effect.
